Pain Point: Need Practice Reporting Data

In order to run a profitable and viable practice, you have to obtain data about your agency. You’ll want to have easy access to both a bird’s eye overview of the financial health, productivity rates, staff status, client data, and more – and be able to drill down into the details.

In other words, you’ll need both reports that you give you the data and the ability to translate that data into usable information.


One of the greatest assets an EHR can provide is data about your practice: who you’re serving + in what format (group, team, inpatient, individual session, IOP) + who’s providing the services + how the treatment is being paid for + whether your Account Receivables are greater than your Account Payables.

You’ll want to be able to pull information about the agency to determine where any points of weakness or inefficiency lie – and conclude from that if any processes can be improved to make the overall practice more effective.  

Ideally, a Practice Management System should connect every aspect of your agency and all of the data that each area handles. For example, your EMR might be able to automatically decrement authorizations so that, as an auth is used for a session, the system automatically subtracts from the pool of available authorizations and even alerts you when you’re approaching the re-up deadline.

In this type of situation, you could run a report on any given day to see how many authorizations remain on certain clients and give that to your billing team to re-apply.

Past the front desk, providers can create a progress or assessment note right from the calendar – and if the authorizations are not available for the session, they won’t be able to use that CPT billing code! It won’t even show up, helping you never again bill for an ineligible session.

On the billing side, all of those session notes have automatically been converted into invoices, ready to be billed. Since the clinical notes also contain lots of other details, such as the length of the visit, the insurance company to be billed, client and provider sign off (as needed), etc, there is no invoice to be created: it’s already been automatically generated by the notes. All the biller has to do is verify the details, batch the invoices, and send them for reimbursement.

The data is only entered once, drastically improving efficiency – and now that you have all of this information, connected, you can report from it.

Tasks that once took hours or even days can be reduced to a few button clicks, because all of the information is already linked and integrated.
