Pain Point: Need More Efficiency

When it’s happening, you can feel it: you’re wasting time. You could be getting more done. Things could be smoother. “This shouldn’t be this hard / take this long!”

Unfortunately, life is fraught with inefficiency, and when you’re having to manage others – or an entire practice – things can snowball.

How do you contain the inefficiency? How do you implement the most effective processes possible?

Got Data?

Sometimes, you can’t tell what needs improvement: you know processes could be smoother but aren’t sure how to tackle the streamlining process. Other times, you know exactly what parts of the practice or particular tasks could use a tune-up. Either way, you need data.

If you don’t know where your practice needs attention – if it’s just a vague understanding that things could be better, but you’re not sure how – you need data to determine where any points of weakness or inefficiency lie.

Whether you know where to dive in – or need some direction on a starting point – you need data to create a baseline, so you can track and measure the solutions implemented.

This type of outcome analysis can serve to both drive future upgrades (if processes need tweaking after the initial changes) and demonstrate incentives for your team to strive for the best solution possible.

Read Your People

Take a moment to jot down your department heads’ strengths, challenges, personal passions, and their job histories. Erasing their current role from your mind for a moment, in what part of the practice do you think they might really shine? Sometimes, employees are in the wrong area and don’t even realize it!

Do you think any of your team members might do better in another part of the practice? It’s a risky move but might pay off exponentially in agency efficiency and employee satisfaction / retention. Read your people; and see if the practice might benefit from trying staff in a different role or department.

Know Your Options

Talk to colleagues: once you have data about which areas need improvement, ask peers how they handle your top challenges. In addition to personal one-on-one connections, professional associations can provide a great community forum. You might be amazed at the solutions shared, whether a product or a method.
